Step 1: Promote student levels

  1. Academic › Student promotion. The page lists active students by current level with a suggested next level.

  1. Correct any exceptions: a repeat student is re-promoted to the same level with Promote to the same level; a graduating student is promoted to Graduate (or set inactive).

  1. Promote holiday-only and trial students too if they will be around next year.

  1. Save. Next year's records now carry the new level; this year's are untouched.

Students with no programme (some inactive records) can't be promoted. Create a programme called Inactive, hidden from registration forms, and assign it to them first. If you missed someone after switching the year, switch back, promote them, switch again.

Rules to know

  • Promotion is additive: it writes next year, it doesn't change this year.

  • Copy the term structure exactly, including plan ticks.

  • Add Excluded days before adding the classes - to ensure accurate lessons are generated
