A student can have a main and a secondary parent. Invoices and the portal go to the main parent unless the secondary is ticked for them.

Mobile numbers

  • Enter with the country code. Singapore numbers default to +65; the country-code list is under Settings.

  • The mobile is the parent's portal username and the WhatsApp destination. A wrong digit means no login and no messages.

  • Foreign numbers work for WhatsApp; PayNow doesn't depend on the mobile.

Parent status

Parents have their own Active/Inactive status, separate from their children. A parent becomes inactive automatically when all their children are inactive, and active again when a child is enrolled. Inactive parents are excluded from broadcasts and can't receive WhatsApp SME messages; the Parents list filters by status.

Editing

Parent details are edited on the parent record and apply to every linked child. Changing the mobile changes the portal username; tell the parent.

De-duplicating and merging parent records

Merging parent records: newer into older, always.
Merging parent records: newer into older, always.

Two parent records with the same mobile number means two portal logins, two invoice addresses and two WhatsApp threads for one family. Edulabs flags the duplicate; you merge it. The rule is simple: the newer record merges into the older one.

How duplicates happen

  • A registration form for a second child creates a new parent instead of matching the existing one (different spelling, missing country code).

  • A manual add without checking.

  • An import with the parent listed once per child.

Merging

  1. Open the Parents page

Parents. Duplicates by mobile show an indicator; De-duplicate lists them all.

Children, invoices, receipts, messages and portal access move to the older record; the newer record is deleted.

  1. Tidy up

Edit the name or email on the kept record if the newer one had the right details.

When merge isn't offered

Records with different mobiles are not detected as duplicates even if the name matches. Fix the mobile on one of them first; the indicator appears and Merge becomes available.

Rules to know

  • One mobile, one parent. Siblings share the record.

  • Country code every time.

  • Parent status follows the children; you rarely set it by hand.

  • Newer merges into older. Always.

  • Same mobile is the test. Fix the mobile to trigger detection.

  • Students don't merge; parents do.
